Administrative assistant  

HMP Kilmarnock 

Full time, 38 hours 

Permanent 

£23,147 per annum

 

HMP Kilmarnock is situated approximately three miles south-east of Hurlford in East Ayrshire and housing a range of male prisoner types. We have a fantastic opportunity for an administrative assistant to join our team. 

 

They key purpose of the role will be to provide administrative support to the Senior management team. The successful applicant must deliver commitments to agreed time and schedule, requires thorough understanding of department systems, processes and procedures, undertaking initial investigations into data accuracy, collecting, collating and producing reports & summaries for management review. 

 

 

  • To complete all Disclosure Scotland checks for staff, third partner agency staff and contractors, ensuring that refresher checks are conducted within appropriate timescales.  

  • To provide administrative support in setting up meetings and minute-taking as required. 

  • To create and publish internal and external communications 

  • To arrange travel  

  • To assist with the management of overtime and payroll co-ordination and support the payroll and HR functions. 

 

 

What you need to do the job: 

 

We are looking for an individual with excellent interpersonal and communication skills.  

It is essential that the successful post holder has excellent computer and typing skills and good knowledge of Microsoft Office suite. 

They must have the ability to work flexibly and to prioritise tasks and work to deadlines. 

It is important that they can work well independently as well as part of a Team working skills. 

Having previous experience of minute taking is desired but not essential. 

 

It is important that they understand Data Protection/GDPR.
