Salary: £21,000 to £22,500 per annum plus benefits   

 

Here at Serco, we are looking for an Administrator to join our team at Norfolk and Norwich University Hospital. Norfolk & Norwich University Hospital puts its patients at the heart of everything they do. The Hospital cares for the people of Norfolk, north Suffolk and further afield, providing almost one million out-patient appointments, day case procedures and in-patient admissions every year. The hospital has 1,200 beds and state-of-the art facilities and works closely with the University of East Anglia to train health professionals and have a strong focus on research. 

 

The key purpose of this role is to provide an excellent administrative service to the Hospitals team ensuring records are kept up to date; information is kept confidential and secure, produce reports, take minutes of meetings, and organise and maintain appropriate administrative systems to support service delivery. You will be a key contributor to the communication within the contract, ensuring the boards and posters are up to date and appropriate.

 

Main Accountabilities

 

  • Provide administrative service and support to all the managers and other members of the Norfolk and Norwich University Hospital team.
  • Collect recognition nominations on a weekly basis and process accordingly. Prepare vouchers, certificates, and posters on a bi-monthly basis.
  • Assist with communications, keeping posters up to date, payslip drops.
  • Create posters for training, health and wellbeing initiatives and events.
  • Process sensitive and confidential information.
  • General admin duties such as filing, typing, photocopying, scanning, binding, distribution of correspondence.
  • Meeting support: Preparation and circulation of agendas, minutes, and briefing materials. Production of minutes, reports, presentations, and correspondence.
  • Take minutes at sickness, conduct, and welfare meetings.
  • Send HR meeting invite letters and outcome letters.
  • Review and prioritise work within agreed parameters.
  • Run reports from bespoke software and present the data in graph format.
  • The post holder's work will be generated by the Soft Services Advisor. The post holder will be expected to use own initiative within defined parameters with assistance readily available from Soft Services Advisor.
  • Assist with HR projects such as recruitment or new initiatives.
  • Preparation of invite letters for staff training.
  • Contingency cover for mandatory training and payroll when required.
  • Any other ad hoc duties as required.

 

What you'll need to do the role

 

  • Extensive use of IT systems, software, and networks.
  • Strong Microsoft Office skills, particularly in Microsoft Office, Word, Excel, PowerPoint, Publisher, and Access.
  • Exceptional organisational and admin skills.
  • Ability to multi-task and to work under pressure to achieve tight deadlines.
  • Ability to adapt to a constantly changing and fast-moving environment.
  • Professional demeanor and interpersonal skills.
  • Ability to prioritise workload.
  • Flexibility to undertake any other tasks and duties that may be required at any time.
  • Good communication skills (written and verbal).
  • Good math and English language skills - GCSE grade C minimum requirement.
  • Positive attitude.
  • Ability to work well in a team, use own initiative and work efficiently.
  • Creative skills required for communication purposes e.g., posters, display boards etc.
  • Ability to communicate effectively with others within the contract at all levels.
