Core Duties

  • Provide advice to ship, area and IWT managers, supervisors and employees on functional processes, policies and procedures to ensure consistency of approach throughout Operations
  • Contribute to the ongoing review and development of operations administrative and IT systems and processes including, reporting to ensure consistency of approach and customer-focused cost effective service provision
  • Contribute to the effective and timely completion of all ad hoc administrative tasks
  • Produce weekly, monthly, quarterly and ad hoc reports from relevant systems to meet needs of Operations team
  • Generate and maintain record of all necessary correspondence for employee personal/Operational changes
  • Accountable for inputting Disc/Absence/Workplace information to the relevant IBS systems and accountable for ensuring pay and leave amendments to achieve the timely payment of salaries and wages by payroll and to ensure that manpower changes are confirmed
  • Administer status enquiries received from agency employees and for all non-management employees.
  • Financial and budgetary control of Facilities Amex card
  • The job holder must demonstrate a well-developed ability to deliver quality power point presentation and slide content
  • Job holder must have understanding of required process to procure supplies and materials from preferred suppliers
  • Safety Plan: Must monitor, manage and communicate and report weekly progress to appropriate parties
  • Provision of safety reports ensuring reminders for outstanding actions to relevant parties
  • Understand BAE quality standards and work tolerances
  • Understand SHE risk awareness, and regularly make time for SHE

  • Knowledge of Operations functional policies and procedures
  • Understanding of the processes required for successful interaction with cross functional parties. E.g. IT and HR
  • Well-developed knowledge of appropriate Administrative systems
  • Well-developed knowledge and understanding of Health Safety at Work Act and Health and Safety Legislation.
  • Advanced understanding of People portal / Access system
  • Technical knowledge essential for use of AMEX card

Qualifications

  • NVQ 3 Business Admin desirable
  • Quality (BMS) and HS&E Management system desirable
