Here at Serco, we are recruiting for a Business Support Administrator to join our team at Great Western Hospital. This role will provide administrative assistant to the Management Team and wider contract, including supporting project activity, managing the purchasing and procurement processes, assisting the Finance Business Partner with revenue coordination, and supporting the Business Support Manager with payroll.

 

Main responsibilities of the role include:

  • Coordinate production of reports and activities in support of contract governance as requested.
  • Provide detailed, efficient, and timely data entry into the time and attendance system to ensure all employees on contract are paid correctly.
  • Produce regular reports relating to the distribution of worked and non-worked hours on the contract.
  • Daily management of the time and attendance systems to ensure all employee information is accurate and up to date.
  • Provide administrative support including minute and note taking to all management team processes and meetings as requested.
  • Soft Services lead for purchasing and procurement (delegated to service lines for domestic, patient catering and retail).
  • Undertake procurement activities in support of contract administration through Guided Buying.
  • Management of purchase orders, including GRN and solving issues when needed.
  • Ensure all invoices and credit notes are raised in a timely manner.
  • Update and manage the Lifecycle database and ensure that all projects are billed with all costs posted accurately.

 

What you'll need to do the role:

  • Excellent communication skills, ability to build strong working relationships within the team and across the contract.
  • Possess excellent written and verbal communication skills.
  • Highly detailed, conscientious and delivery focused.
  • Discrete and able to deal with sensitive information (payroll, finance, and HR).
  • Excellent organisational skills with superior time management skills.
  • Demonstrates a flexible approach to work, self-motivated and able to manage conflicting priorities.
  • Previous experience of working within a Business Support role is preferable.
  • Excellent IT skills, particularly in MS Excel, PowerPoint, and Word.
