Serco have an exciting opportunity for an experienced Administrator to join our team based at the Defence Academy in Shrivenham, Swindon.  The Lead Administrator will provide effective administrative and secretarial support to Joint Forces Development (JFD) HQ, in particular the Information Governance team. You will be responsible for monitoring the inbox daily for incoming work, checking the data protection impact assessment register for forthcoming annual reviews, and maintaining information registers.

 

Serco at the Defence Academy provides Facilities Management across all aspects of the site including Estates, Logistics, various Supporting Services, together with Cleaning, Catering and Waste Management through ESS.

  

Main responsibilities of the role include:

  • Maintain information registers: keep JFD HQ IT asset register up to date; review O365 Group Site register; monthly review of JFD Third Party Supplier Assurance register, obtaining new entries from UK Strat Comm team.
  • Monthly check of Information Asset register: producing a quarterly report to show information due for update, issuing reminders to the IA focal points for completion, ensuring required updates completed within agreed timelines to feed into TLB Information Governance working group.
  • Action requests in relation to Authorised Demander duties: ordering via the MOD Net catalogue, creating Microsoft Groups, amending group permissions via Self Service Group Management.
  • Creation of new SharePoint sites for JFD HQ, keeping corporate portals up to date.
  • Monthly moribund (frozen) accounts checking ensure the list is updated and liaise with IM Focal Point as necessary to report back to the TLB.
  • Provide general administrative support: undertaking/monitoring comms for the Information Governance and Assurance team; maintaining the JFD HA Organisation Chart; updating associated portals; filing/archiving; general tasks within the department.

 

What you need to do the job:

  • GCSE's (A-C) or equivalent in English and Maths.
  • Able to use a variety of communication methods (spoken, written, behaviour).
  • Previous administrative experience; knowledge and understanding of general office practices.
  • Good attention to detail; ability to interpret information and seek clarification by testing.
  • Must be methodical, have proven organisational skills and able to work under pressure.
  • Ability to work collaboratively in a team environment.
  • Problem solving skills are a must in this role.
  • Excellent customer service skills.
  • It is essential that the successful candidate is PC literate, with a good level of experience in MS Office including Outlook, Word, Excel. 
  • You will have to gain enhanced clearance within the first 3 months of employment.  Serco will arrange this on your behalf.
