Lead Administrator - Support Operations Team

Serco have an exciting opportunity for an experienced Administrator to join our team based at the Defence Academy in Shrivenham, Swindon. The Support Operations Team (SOT) Lead Administrator will work with the team to provide effective administrative and specialist functional support by ensuring a high standard of administrative provision and functional activities.
Serco at the Defence Academy provides Facilities Management across all aspects of the site including Estates, Logistics, various Supporting Services, together with Cleaning, Catering and Waste Management through ESS.
Main responsibilities of the role:
- Act as the point of contact and subject matter expert on SOT matters, provide customer service and liaison to both internal and external customers.
- Provide effective Administrative and Functional support to the Defence Academy Headquarters - Support Operations Team.
- Provide support to the Estates Assurance Group monthly meeting taking Records of Decisions (RODs).
- Provide support to the SOT Team Leader and wider team in the delivery of a range of Ops services related matters.
- Minute taking for the monthly Security Working Group meeting and RODs for the weekly Digital Leads meeting.
- Provide support to the CERMS Monthly Project Board to include taking RODs.
- Provide administration of the course, event and room booking system and act as the POC for all Defence Academy room booking requests, ensuring the timely action of all requests.
- Word processing, filing, photocopying, scanning and transmission of emails.
- Maintain electronic and hard filing systems including receipt and issue of SOT related documents, records, data and file archiving and the maintenance of departmental notice boards.
What you need to do the job:
- GCSE's (A-C) or equivalent in English and Maths.
- Able to use a variety of communication methods (spoken, written, behaviour).
- Previous administration experience is preferable.
- Knowledge and understanding of general office practices, specifically formal letter writing.
- Proven ability to arrange, record and minute meetings.
- Must be methodical, have proven organisational skills and able to work under pressure.
- Problem solving skills are a must in this role.
- Excellent customer service skills.
- It is essential that the successful candidate is PC literate, with a good level of experience in MS Office including Outlook, Word, Excel.
- You will have to gain enhanced clearance within the first 3 months of employment. Serco will arrange this on your behalf.
