Location: RAF Larkhill, covering Aldershot and South region

Term: Full Time/Perm



You will play a key part in helping to support our team or project managers, the management team, and our suppliers to ensure smooth, effective, and concise delivery of billable works ranging from works of several thousand pounds to several million pounds.


Key Responsibilities:

  • Support the team in formal meetings including booking suitable facilities, assisting with minute taking, recording attendance, and producing any action logs.
  • Maintain an accurate filing system in accordance with VIVO policy, both electronic and hard copy files (where necessary).
  • Work in compliance with VIVO processes and share effective ways of working within the VIVO contract.
  • Be aware of cost and value for money when completing duties and share any potential waste or saving ideas.
  • Be aware of VIVO Health & Safety policy and procedure, ensure best practice and always maintain awareness.
  • Demonstrate a sound understanding of administrative processes and maintain focus to deliver results.
  • Raise orders through the Vivo ordering system to aid prompt works instructions and payments to suppliers.
  • Have and open and engaging approach in line with the Vivo culture.
  • Provide an open approach to supporting the team and helping with resolutions.
  • Build effective relationship with key stakeholders to aid in delivery of works.


    Essential technical and professional skills, knowledge and qualifications

    • NVQ level 2 qualification in Administration, a related discipline or equivalent experience.
    • Previous experience in a similar role, coordinating small works/FM engineers across multiple sites
    • Developed IT skills (e.g., Excel, Word etc)
    • Demonstrate good time management and effective self-management.
    • Proactive approach to learning new skills and CPD
    • Demonstrate a sound understanding of administrative processes.
    • Ability to work on own initiative.
    • Demonstrable experience of working in a collaborative environment.
    • Familiarisation with Maximo applications
    • Full UK driving licence


    Security clearance is required for our sites, successful applicants will be expected to achieve either BPSS or SC clearance as a condition of appointment into the role.
