Job title:  Support Administrative

Location:  HMP Thameside, London

Salary:  Between £27,424 and £27,975 per annum (salary is inclusive of London Weighting)

Working hours: Full Time, 40 hours per week


 HMP Thameside is a local Category B resettlement prison in the Thamesmead area of the Royal Borough of Greenwich, South-East London.  Thameside is London's only private prison and can currently hold 1232 convicted and remand male prisoners.  A relatively new-build prison, completed in March 2012, Serco has managed the facility since opening.  We provide a safe, decent, secure and respectful environment.


Key purpose of this role is to provide administrative support to allocated department at HMP Thameside. Though the relevant training will be provided to successful candidate, the role demands a good level of computer literacy, particularly in the use of MS Office suite (Word, PowerPoint and Excel), email, intranet and database.


Your key accountabilities will include:

  • Management of office processes and procedures, ensuring that they are fit for purpose and are followed

- Answering the telephone and emails, dealing with enquiries

- Dealing with incoming and outgoing correspondence, organising couriers

- Taking and circulating minutes of meetings

- Administrative support as required, to other departments, on request

- Ordering office supplies and consumables

- Ensuring accuracy of office calendar and out of office answerphone/emails

- Office filing and archiving

- Adhering to the clear and hot desk policies

- Ability to work quickly and calmly especially under pressure and in emergency situations

- Experience of data protection and handling sensitive issues in an appropriate manner

- Be a team worker with a flexible approach to include the ability to request and

offer support to other team members as required including liaising with line manager

- Possess good communication skills both verbal and written including accurate

spelling and grammar and the ability to give explanations clearly

- be self-motivated

- Experience of using databases spreadsheets and other computer-based

applications including Microsoft Office

- Flexible attitude to working including willingness to work additional hours as


- Assist manager in follow up actions to health and safety risk assessments

- Oversight of the calendar bookings

- To support in the collation of data for KPT's and CDI's, and reporting deadlines are

adhered too

- To adhere to the expectations of HMIP

- Support as point of contact for IT helpdesk

- Supporting staff with IT queries where possible

- Assisting to co-ordinating in-house meetings

- Assisting in the preparation of documents, photocopying and document binding

- Induct new staff to office processes and procedures

- Proof reading, review, coordination, and analysis of reports.


What you need to do the job


  • Educated to a minimum of GCSE Grade C (or equivalent) in Maths and English

- Excellent organisational skills

- Strong Microsoft Word and Excel skills

 - Good Data Inputting Skills.

 - Have a common-sense approach with the capacity to make reasonable decisions and lead by example

 - Able to cope under pressure

 - Team worker, with ability to work alone.

 - Numerate, literate, IT literate.

- Co-operative with a willingness to help others achieve their goals.

- Motivated and actively promote diversity and challenge discriminatory behaviour.

 - Strong interpersonal and communication skills and an ability to liaise and negotiate at all levels

- English language qualification or equivalent.

- Monitoring Databases and recognise themes, patterns, and concerns.
