Role: Administrative Officer - Lifelong Learning

Location: Belfast

Pay Rate: £14.35 per hour

Hours: One day only per week, to be agreed with the successful applicant, 9-5pm Office based

Immediate start through to June 2026 min

Your role:

We are currently recruiting for an administrative officer for the Lifelong Learning department at for our client, a local University. You will assist the Head of Masters, CPD and Lifelong Learning with the coordination of the Lifelong Learning programmes.

Your responsibilities:

1. To manage the processing of all Lifelong Learning (LLL) applications, ensuring accuracy and consistency in the application of admissions criteria and to ensure compliance with all relevant codes of practice and regulations.

2. To update eshop for LLL courses, process bookings and add student details to booking sheet.

3. To assist with all student communications, supporting the online application process end to end including informing students of class times, welcome email and tutor details.

4. To liaise with tutors regarding attendance and issue all relevant students with certificates of attendance and/or attainment as appropriate.

5. In conjunction with the Timetabling Officer, manage the room booking and timetabling for all Lifelong Learning programmes including liaising with academic staff, tutors and students to ensure smooth running of the programmes.

6. To process finance documentation related to all Lifelong Learning following set procedures (e.g. invoices and tutor payments, guest speakers, etc.)

7. To liaise with all Lifelong Learning tutors ensuring all documentation is place, including signed contracts.

8. To be the main point of contact for potential LLL applicants and stakeholders on a range of application and enrolment matters, escalating when required.

9. To undertake record keeping, filing and photocopying to ensure accurate records are maintained.

10. To administer the College's Lifelong Learning programme in line with agreed strategy.

11. To assist with the preparation of the LLL prospectus in liaison with marketing.

12. To coordinate LLL events

13. To draft relevant publicity material in relation Lifelong Learning, including successes and good news stories for approval.

You will have:

- Minimum 5 GCSE passes or equivalent at Grade C or higher level qualification, to include qualifications that demonstrate literacy/ proficiency in English language and numeracy.

- At least two year's recent administration experience

- Excellent IT skills, including working with Microsoft Office and Management Information Systems (MIS)
