Business Admin Assistant
12-month fixed term.
37 hours per week, Monday-Friday 0900-1700
Office based with the option to working from home occasionally.
Salary - £23,556.64 plus basic Serco benefits
Main Purpose:
To provide professional, effective, and efficient business and administration support to the Customer Service Centre's Operational Development & Support Team
Main Accountabilities:
The Admin Assistant will work under the direction and guidance of the Operational Development & Engagement Lead, the post holder will:
- Minute Taking: Accurately record minutes during meetings and distribute them to relevant stakeholders.
- Action & Decision Logs: Maintain and update logs to track actions and decisions made during meetings.
- Meeting Coordination: Schedule and send invites for meetings, prepare agendas, and ensure all necessary materials are available.
- Slide Packs: Create and compile slide packs for presentations and training sessions.
- Reporting: Generate regular reports on team activities, progress, and outcomes.
- Record Maintenance: Ensure all records are accurate, up-to-date, and easily accessible.
- Activity Monitoring: Monitor team activities to ensure timely delivery of tasks and projects.
- Planning & Task Management: Assist in planning and managing tasks to support team objectives.
- Travel Booking: Arrange travel accommodations and itineraries for team members.
- Meeting Room Management: Book and prepare meeting rooms as needed.
- Material Collation: Collect and organize materials for training sessions, meetings, and other team activities.
What you will need for the role:
- Proven experience in an administrative role, preferably supporting training, quality management, or knowledge management teams.
- Excellent organisational and time management skills.
- Strong communication skills, both written and verbal.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and as part of a team.
- Attention to detail and accuracy.
- Minimum Maths, English A-C/4 or equivalent
- Good communication skills (verbal and written)
- Exercise proactivity and good judgement
- Knowledge of the concept of confidentiality and GDPR
- Flexible attitude to work
- Ability to work as a team
