Are you highly organised, proactive, and eager to play a key role in a fast-paced operational environment? We are seeking a dynamic and detail-oriented Helpdesk & Scheduling Coordinator to join our team. This role is pivotal in ensuring the smooth delivery of maintenance operations and service excellence across RAF Croughton.
About the Role
Reporting to the Built Estate Manager, the Helpdesk & Scheduling Coordinator is responsible for overseeing the scheduling of planned maintenance tasks, coordinating administrative functions, and ensuring compliance with operational procedures and company standards. You will manage daily workflows, maintain data accuracy, and act as a key point of contact for both internal stakeholders and service users.
You will coordinate the completion and closure of all planned maintenance tasks, ensuring that they are managed in accordance with Service Level Agreements. Each day, you will monitor and report on the status of open work orders, support site managers with administrative duties, and raise and manage purchase orders when required. The role also includes managing site records such as sign-in sheets and timesheets, arranging escorts when needed, and maintaining effective communication with all stakeholders.
You will attend daily and weekly performance meetings, contribute to performance reporting, and provide monthly analysis of key performance trends. You will also support the induction and onboarding of new starters and ensure all health and safety procedures, including PPE usage and risk assessments, are fully adhered to.
What you'll need;
We are looking for someone who is highly organised, communicative, and capable of managing multiple priorities in a high-performance environment. You should be confident handling data, possess excellent attention to detail, and be comfortable engaging with both internal and external stakeholders. Previous experience in a helpdesk or scheduling role, ideally within facilities management or a similar sector, is desirable.
