Job Title: Projects Coordinator
Location: Edinburgh, EH16
Working Hours: Monday to Friday, 08:00-17:00
Temporary: 2 months
Pay Rate: £25.00 per hour (PAYE)
We are looking for an experienced and enthusiastic Projects Coordinator to join our Facilities Management team at a major healthcare site in Edinburgh. This role supports a wide range of lifecycle and variations project activity, working closely with project and technical teams to ensure projects are delivered efficiently, to a high standard, and with excellent customer service.
General Overview:
Reporting to the Senior Project Manager, the Projects Coordinator will provide professional administrative, financial, and organisational support. You'll be a central point of coordination, helping the project team deliver outcomes that meet safety, compliance, quality, and cost expectations.
Key Responsibilities:
- Assist Project Managers in delivering lifecycle and variations projects on time and within budget
- Prepare and manage project documentation including costings, tenders, risk assessments, and compliance records
- Maintain auditable records in line with ISO and CDM regulations
- Generate monthly invoices and ensure cost recovery aligns with financial policies
- Support procurement, material tracking, and subcontractor liaison
- Update internal systems such as SharePoint, trackers, asset lists, and area data sheets
- Coordinate with internal teams, subcontractors, and client representatives for seamless project delivery
- Contribute to project reviews, planning, and continuous quality improvement activities
- Assist in the development of annual lifecycle plans and support the delivery of holiday works
Required Qualifications & Experience:
- GCSEs in English & Maths (A-C) or NVQ Level 2 in a relevant subject
- Prior experience in a similar project coordination or facilities role
- Excellent communication and organisational skills
- Strong Microsoft Office proficiency (Excel and Word)
- Working knowledge of Coupa, SAP, BI Launchpad, and Maximo is desirable
- Experience managing contractors and understanding of safe working practices
- Full UK driving licence required
Desirable:
- Supervisory experience
- IOSH Managing Safely or SMSTS certification
- Prior FM industry experience
